Job Title: Medical Office Assistant
Reports to: Clinic Manager
Job Purpose: To support Vancouver Family Practice Centre Practitioners in clinic operations and in delivering patient care. All work should be delivered to standards and procedures established in Vancouver Family Practice Centre and procedure manual or otherwise requested by Vancouver Family Practice Centre Practitioners. We are seeking candidates who are experienced, self-motivated, and energetic, organized, and have good communication and interpersonal skills. Completion of MOA Course and or MOA experience is required. Duties include taking phone calls, referrals, scheduling/booking, Prescription Refills, Runner Duties, Billing of clinic, electronic filing/ scanning of patient records, and cleaning/preparation of examination rooms prepping, patient preparation prior to visit.
DUTIES:
- Maintains patient records in the electronic medical record (Wolf) system
- Answers inquiries by phone and in person in a helpful, respectful and efficient manner
- Maintains provider schedules by booking appointments and processing referrals as required
- Manages prescription renewals according to office protocol
- Assists patients with patient portal and online registration
- Scanning patient records and electronically filing accordingly
- Manages incoming and outgoing electronic faxes and mail
- Coordinates patient care throughout the clinic; arriving patients, escorting patients to exam room, prepare exam rooms for minor procedures as needed and turning over exam rooms
- Perform and record result for various lab tests done at the clinic such as urinalysis and occult stool tests, Pregnancy Test, Drug Test Screening
- Utilize the autoclave to sterilize equipment as required
- Handles sensitive medical information and follows regulations regarding confidentiality
- Completes tasks requested by physicians for patient care (calls, messages, forms etc.)
- Experience with MSP, ICBC, WCB and Uninsured Services billing procedures
- Processes payments in the EMR and daily reconciliation
SKILLS:
- A passion for customer service and building customer relationships
- Knowledge of clinic operations and processes
- Medical and Clinical Terminology
- EMR experience
- Ability to type at least 40WPM
- Attention to detail and the ability to maintain accuracy
- Ability to work with Microsoft Office
- Ability to work in a team environment
- Great communicator (verbal and in writing)
- Excellent problems solving skills and the ability to handle patient concerns
- Self-motivated with exceptional organizational skills, ability to multitask
EDUCATION
- Medical Office Assistant Diploma/Certification.
- Minimum 2 years of related experience or the equivalent combination of education and experience in a health care environment.
- Relevant training or experience as medical office assistant, medical unit clerk, or nursing.

HOURS:
Varied, depending on clinic needs.
CLINIC HOURS
- Mon - Thurs 8:30 am - 7:30 pm,
- Friday 8:30 am - 5:00 pm,
- Saturday 10:00 am - 2:00 pm (urgent same day appointments)

COMPENSATION:
Salary and Compensation: $18.50-$24.50 per hour
